### How do scans get into my spreadsheet?

Through a CSV Web Link that your spreadsheet reads automatically. Here's how it works:

- Customize Table: On the service's Scans tab, choose the fields and the order you want, so they match your spreadsheet's column headers.
- CSV Web Link: Use the More Actions dropdown to generate the link. It outputs scans in the same format and order as the table.
- Connect Your Spreadsheet: More Actions also links to instructions for adding the Web Link to Excel, Google Sheets, and other platforms.

### What data can each scan record include?

Each scan record can include:

- The item's UPC, EAN, GTIN, or SKU.
- The app username, for accountability.
- A timestamp and location (GPS or manual entry).
- Optional [form fields](https://www.codereadr.com/knowledgebase/collect-data-with-questions/), such as quantity, comments, or item condition.
- [Photos and signatures](https://www.codereadr.com/knowledgebase/photo-collection-and-signature-capture/), when proof or condition documentation is required.

### How quickly does my spreadsheet update?

Your spreadsheet automatically syncs those scans every 10 minutes (Excel) or 60 minutes (Sheets).  The intervals can be longer if that makes sense for your intended use.

### Can each location or audit team have its own spreadsheet?

Yes. You can post audit data to individual spreadsheets for each location and audit team. Local staff manage their own counts, while corporate teams monitor progress and consolidate results when ready.

### Can I stop the same item from being counted twice?

Yes. You can optionally disable duplicate scans. You can also let app users enter the quantity on hand instead of scanning the same item multiple times.

### What if an app user makes a mistake?

App users can edit a scan in the app if they make a mistake. After scans are uploaded, you can also delete them from the Scans table at any time, and the change is reflected in the CSV Web Link output.

### Does the service work offline?

Yes! Scans are saved on the device when offline and uploaded automatically once connectivity is restored. ### Who can scan with the service?

Only the app users you choose. On the service's Users tab, check the box next to each user who should have access, or add and invite new users. Username options include email addresses, text usernames, [Single Sign-On](https://www.codereadr.com/knowledgebase/single-sign-on/), and Sign in with Google or Microsoft. ### What if a barcode is damaged or missing?

App users can type the value manually or use built-in [Optical Character Recognition (OCR)](https://www.codereadr.com/knowledgebase/optical-character-recognition/) to capture printed item IDs. The app also [reads RFID and NFC tags](https://www.codereadr.com/knowledgebase/track-validate-rfid-nfc/), and users can switch between capture methods depending on their hardware.

### Is special hardware required?

No. Consumer or rugged iOS and Android smartphones and tablets all work, including personal devices.
